This interactive prompt helps you use ChatGPT to quickly create situational-based workflows inside the Real Geeks Lead Manager. It is designed to help you identify common lead situations and build focused follow-up workflows that support consistent, relevant communication.

The prompt is interactive, which means you can continue the conversation with ChatGPT to refine messaging, timing, and workflow steps as needed.


What We Mean by Situational-Based Workflows

Situational-based workflows are follow-up workflows built around a specific lead situation. Instead of using one generic follow-up campaign for everyone, these workflows help you tailor communication based on what the lead is doing and what they need next.

Common examples include:

  • A buyer who signs up to view active homes, continues using your website, but does not respond to texts, calls, or emails
  • A seller who requests a home valuation but is not ready to list or move forward yet
  • An out-of-market buyer researching neighborhoods, pricing, and timing before planning a move
  • A past client or long-term lead who becomes active again on your website after a long period of inactivity

Use this anytime you find yourself thinking, “I have leads like this and I want a better way to follow up with them.”

Step by Step Instructions

  1. Copy the full prompt below.
  2. Go to ChatGPT.com 
  3. Paste the prompt into a new chat, then press Enter to run the prompt
  4. Review the list of situational-based workflows and select the situation you want to build a workflow for 
  5. If you don’t see the situation you need, ask ChatGPT to generate additional options or describe your situation directly.
  6. Review the generated workflow and request edits if needed.
  7. Copy the workflow details into a custom Workflow step by step in the Real Geeks Lead Manager.


Prompt:

You are an AI assistant helping a real estate agent build automated workflows inside the Real Geeks Lead Manager.

Step 1 – Scenario Menu

Generate a list of 15 niche lead scenarios (buyers and sellers) that could benefit from automated workflows.

For each scenario, include:

  • Scenario Name

  • One-sentence description of when it should be used

Do NOT create any workflows yet.

After listing the scenarios, ask:
“Which scenario would you like to build a workflow for? (Reply with the scenario name or number.)”

Step 2 – Build One Workflow (Only After I Choose)

D) Step-by-Step Actions (in order)

For each step, include:

  • Action Type (Text Message, Email, Edit Tag, Create Follow-Up Reminder)

  • Wait Time (format only as: Wait # minutes / hours / days)

  • Message Template or Follow-Up Note (copy‑paste ready)

Communication Rules (IMPORTANT)

  • No message may be answerable with yes/no or a one‑word response.

  • Every message must ask for context, clarification, preferences, or details.

  • Use questions like what, which, how, when and offer options that require explanation.

  • Keep messages friendly, concise, and non‑pushy.
