How CRM Tags Work
CRM tags are labels you use to identify a lead’s interests or important details so you can group similar leads together and take action faster.
Think of your Real Geeks lead manager like a filing cabinet. Every lead has a file, and tags are the labels on those files. One lead can have multiple tags, which means that same lead can belong to multiple folders at the same time.
Once your leads are tagged and grouped, you can use those tags to work more efficiently, including:
- Subscribe multiple leads to a single workflow at once
- Send a targeted mass email based on a shared interest, location, or timeline
- Building quick call lists so you always know who to contact and why
Tags help you spend less time searching and more time having the right conversations with the right leads.

Turn Conversations Into Useful Tags
When you talk with a lead on the phone or through text, you will often learn several details at once. Your notes might be long, but tags help you pull out the most important details that could apply to other leads with similar needs.
For example, your notes might say:
"Looking to buy near downtown in six months and very motivated."
From that one note, you could add tags like:
- Buyer
- Downtown Interest
- 3–6 Months
- High Motivation
Your notes keep the full story. Tags highlight the key details.
Using tags this way helps you quickly understand a lead at a glance, group them with similar leads, and take action without rereading long notes.
Best Practices
Use these tips to get the most value from tags.
- Start with a small set of tags you will use consistently.
- Create tags that help you decide what action to take next. Examples include:
- VIP = high priority follow up contact
- 6-12 Months = medium-level interest. May not need daily follow up
- Browsing = not actively interested. Establish automated communication to stay in touch over time
- Use tags to group leads by interests, priorities, or communication preferences.
Examples include:- Prefers text = prioritize text communication
- Downtown interest = update with listings in the "downtown" area
- Investor = focus communication around investment opportunities
- Filter your CRM using multiple tags to create hyper-specific call lists or lead engagement campaigns
Frequently Asked Questions
Are tags the only way to organize your leads?
No. Real Geeks also lets you organize leads with menus like urgency, status, type, and timeframe. These standardized fields keep your pipeline structured, while tags offer flexibility for quick, custom labels that don’t quite fit into certain dropdown menus.
Many agents use these menus for consistency and tags for fast, on-the-go notes.
How many tags should I use?
Start with a few tags and add more as you get comfortable.
Can I remove tags later?
Yes. As leads interests or timeframes evolve, tags can always be removed from individual leads or in bulk at any time.
