What is the Email Integration Function?
Real Geeks’ email integration allows you to track both sent and received emails from your business email directly within the Lead Manager.
For privacy, emails are only recorded if the lead’s email address is stored in your CRM.
Email Integration Options
Real Geeks offers two ways to connect your email:
- Sending Email from CRM (Outgoing) – Logs all emails you send to leads.
- Email Sync (Incoming) – Syncs emails leads send to you.
This ensures that all email conversations with leads are organized and easily accessible in one place.

How to Integrate Gmail/Gsuite
Security Disclaimer
Real Geeks will not delete your emails. The required permissions to set up email integration include delete access due to email provider rules, but Real Geeks does not have the ability to remove any emails.
Connect the Sending (Outgoing) Emails
- Go to the Email Integration tab in your CRM.
- Click Setup Now under “Sending Email from CRM.”
- Select the Gmail icon.
- Click Link Gmail.
- Select your Google Account or log in.
- Review the “Sign in with Google” form and click Allow.
Connect Incoming Emails (Email Sync)
Please Note
Before proceeding with this step, please ensure that the Sending Email integration steps (above) are completed.
- Click Setup Now under “Email Sync.”
- Choose which emails you want to sync:
- All Leads: Emails from any lead you communicate with.
- Only My Leads: Emails only from leads assigned to you.
- Click Sync Email
How to Integrate Microsoft
Connect the Sending (Outgoing) Emails
- Go to the Email Integration tab in your CRM.
- Click Setup Now under “Sending Email from CRM.”
- Select the Microsoft icon.
- Click Link Microsoft.
- Log in with your Microsoft email credentials.
- Review the “Sign in with Microsoft” form and click Yes.
Connect Incoming Emails (Email Sync)
Please Note
Before proceeding with this step, please ensure that the Sending Email integration steps (above) are completed.
- Click Setup Now under “Email Sync.”
- Choose which emails you want to sync:
- All Leads: Emails from any lead you communicate with.
- Only My Leads: Emails only from leads assigned to you.
- Click Sync Email
How to Integrate Yahoo
Yahoo has enhanced security settings that require extra setup steps.
Step 1 - Generate an App Password for Yahoo
- Sign in to your Yahoo Account Security page.
- Click Generate app password
- In the text field, enter a name for your app (e.g., “Real Geeks”).
- Click Generate password.
- Click Copy
Connect Yahoo Email to Real Geeks
- Go to the Real Geeks Email Integration page.
- Click Setup Now
- Select Other SMTP
- Enter your Yahoo email address and the generated password.
- Click Save.
How to Integrate AOL
To link your AOL email with Real Geeks, you must create an app-specific password for third-party access.
Step 1 - Generate an App Password for AOL
- Sign in to your AOL Account Security page.
- Click Generate app password
- Enter a name for your app (e.g., “Real Geeks”)
- Click Generate password.
- Copy the Password
Step 2 - Connect AOL Email to Real Geeks
- Go to the Real Geeks Email Integration page.
- Click Setup Now
- Select Other SMTP
- Enter your AOL email address and the generated password.
- Click Save.
How to Integrate iCloud
- Sign in to your Apple ID account.
- Under Security, click Generate Password below “App-Specific Passwords.”
- Follow the instructions and copy the generated password.
- Go to the Email Integration tab in your CRM.
- Click Setup Now → Select Other SMTP.
- Enter your iCloud email and the app password from Apple.
- Click Save.
- If you receive an error, change the SMTP Address to smtp.mail.me.com and click Save.
How to Integrate att.net
- Create a Secure Mail Key by following these instructions.
- Be sure to save this key, as it will not be visible again.
- Go to the Email Integration tab in your CRM.
- Click Setup Now → Select Other SMTP.
- Enter your att.net email and the Secure Mail Key as the password.
- Click Save.
If An Error Occurs
If you receive an error, update the SMTP Address to smtp.mail.att.net and click Save.
How to Integrate Network Solutions
- Go to the Email Integration tab in your CRM.
- Click Setup Now → Select Other SMTP.
- Enter your Network Solutions email and password.
If An Error Occurs
update the SMTP Address to smtp. and change the Port to 25.
Legacy Email Sync via Context.IO (For Microsoft Users)
The Context.IO sync service was discontinued on March 31, 2019. Our current sync feature works only with Google or Microsoft email accounts.
If using a custom email domain, please switch to Google Workspace (formerly GSuite) or Microsoft Office365.
