Assign Leads by Location With the Geographic Round Robin

Automatically route CRM leads to agents based on the locations they cover

Geographic Round Robin is a lead assignment method that routes new leads to agents based on the areas they serve. Instead of sending every lead into one shared rotation, the system checks where the lead is searching and assigns the lead to agents responsible for that location. This helps ensure leads are matched with agents who know the local market while still distributing leads fairly across your team.

Need to Know

  • This feature must be enabled by the Real Geeks support team

  • Geographic Round Robin routes leads based on the counties or states a lead is searching in

  • Leads are rotated evenly among agents assigned to the same area group

  • Weighted routing can prioritize certain agents to receive more leads

What Is Geographic Round Robin

Geographic Round Robin is a lead assignment system that distributes leads to agents based on the locations they serve.

geo-rr-statusWhen a new lead enters the CRM, the system looks at the location the lead is searching in. The lead is then routed to the agents assigned to that area.

This approach helps teams:

  • Connect leads with agents who know the local market

  • Distribute leads fairly across agents

  • Organize coverage across multiple counties or states

Geographic routing is especially helpful for teams that operate across several markets and want to ensure leads are assigned to the right agents.

How Geographic Round Robin Works

Geographic Round Robin combines two rules:

  • Geographic routing

  • Round robin lead distribution

First, the system identifies the county or state associated with the lead's search activity.

Next, the lead is routed to the group of agents responsible for that area.

If multiple agents cover the same area, the CRM distributes leads evenly using round robin rotation.

Example

  • The first lead searching in Sarasota County is assigned to Agent A

  • The next Sarasota County lead is assigned to Agent B

  • The third Sarasota County lead rotates back to Agent A

This rotation continues as new leads enter the system, ensuring fair lead distribution while keeping leads within the correct market.

Weighted Geographic Round Robin

Weighted Geographic Round Robin allows teams to prioritize certain agents within the lead rotation.

Each agent is assigned a weight value that determines how frequently they receive leads compared to other agents.

geo-rr-weightThe default weight begins at 1. Higher values increase how often that agent receives leads.

Example

  • Agent A weight: 2

  • Agent B weight: 1

In this setup, Agent A will receive two leads for every one lead assigned to Agent B.

Teams often use weighted routing to:

  • Reward top-performing agents

  • Prioritize experienced agents

  • Gradually increase lead flow for newer agents

How to Request Geographic Round Robin

Because Geographic Round Robin is configured specifically for your team, it must be enabled by the Real Geeks support team.

Follow the steps below to submit your request.

1. List the Counties or States You Want to Target

Start by identifying the counties or states where your team operates and wants to receive leads.

We recommend organizing coverage at the county or state level. Assigning areas by city can create inconsistent lead routing and is not recommended.

2. Create Area Groups

Next, organize your counties or states into area groups. An area group is simply a name used to identify a group of locations that will share the same lead rotation.

Agents assigned to the same area group will rotate leads from those counties or states.

Example

West Side

  • Sarasota County

  • Pinellas County

  • Manatee County

East Side

  • Hillsborough County

  • Charlotte County

In this example:

  • Leads searching in Sarasota, Pinellas, or Manatee County would route to agents assigned to the West Side group

  • Leads searching in Hillsborough or Charlotte County would route to agents assigned to the East Side group

3. Send Your Setup to Support

Once you have defined your area groups, email your setup to the Real Geeks support team so they can configure the routing rules.

Important: Replace the example areas below with the counties or states your team serves before sending the email.

Frequently Asked Questions

  • Do I need to contact support to enable Geographic Round Robin?
Yes. Geographic Round Robin requires custom routing configuration, so the Real Geeks support team must enable it for your account.

  • Can multiple agents receive leads from the same county or state?
Yes. If multiple agents are assigned to the same area group, the system will rotate leads evenly among them.

  • What is the difference between geographic routing and weighted routing?
Geographic routing determines which agents can receive a lead based on location. Weighted routing determines how frequently each agent receives leads within that group.

  • Can I change my area groups later?
Yes. If your team expands or coverage areas change, you can contact support to update your Geographic Round Robin setup.
