Real Geeks CRM allows agents to create reusable Text Templates to streamline communication with leads. These templates can be created from scratch or personalized from the Real Geeks Template Library, offering flexibility in how agents manage and automate lead engagement. Whether used for individual texts or integrated into automated workflows, text templates help save time and maintain consistent messaging.

This guide covers two key methods: Creating a new text template and Accessing the Real Geeks Template Library, followed by instructions for personalizing a message.

Please Note

Templates created in the CRM can be used for one-off communications or integrated into automated workflow campaigns. To set up templates in workflows, visit Workflows and engage leads over time automatically.

Creating a Template

  1. Visit the Text Template Library
  2. Select How You Want to Create a Template:
    • Create New: If you want to start from scratch, click "Create New" to build your own custom template.
    • Create From Library: If you prefer to personalize a pre-made template, click "Create From Library" to browse the Real Geeks Template Library and select a pre-built template.

Personalizing a Template

Once you've chosen to either create a new template or use one from the Real Geeks Library, follow these steps to personalize it:

Name Your Template:

  • Enter a descriptive name for the template. This name will only be visible internally and helps you and your team quickly identify the template's purpose (e.g., "Follow-Up Reminder" or "New Listing Update").

Categorize the Template:

  • Organize your template by assigning it to a category. Common categories might include Follow-Up, New Listings, or Appointment Reminders. This helps keep your templates organized and easy to access.

Adjust Access Settings:

  • Choose who can access the template:
    • Only Me: Only you can see and use the template.
    • My Whole Team: Share the template with your team so they can use it as well. This is ideal for ensuring consistent communication across your organization.

Compose the Message:

  • Write your message in the text box. Ensure the message aligns with the purpose of the template, whether it's a follow-up, a new property listing, or an appointment reminder. Use merge fields to ensure each message feels custom to the recipient.

Add Merge Fields:

  • Personalize your message by using merge fields such as , or . These fields automatically populate with the lead's specific information when the message is sent, making it feel personalized without requiring manual input for each message.

Upload a Custom Video (Optional):

  • You can upload a video to attach to the text message. This could be a personalized greeting, a property walkthrough, or any relevant visual content. Including videos can help increase engagement with your leads.

Save the Template:

  • Once you're happy with the message, click "Save" to store the template. The template will now be available for use based on the access settings you configured (either for you or your team).

How to Use Text Templates

After creating or personalizing a template, you can start using it in your daily communication with leads:

  1. Open an SMS Message with Your Lead:
    • Navigate to the Lead Dashboard or go to the lead’s profile directly.
    • Click the “Text Lead” button to open the SMS message window.

  1. Select the Message Templates Button:
    • In the SMS window, click on the “Message Templates” button to access your saved templates.
  1. Choose Your Personalized Template:
    • From the list of available templates, select the one that fits the communication you want to send (e.g., a follow-up or appointment reminder).
  1. Make Adjustments if Necessary:
    • Once the template is applied, review the message and make any necessary edits to personalize it further for the unique situation.
    • Ensure that any merge fields (like ) have populated correctly with the lead’s specific details.
  1. Send the Message:
    • After reviewing and adjusting the message, click Send to deliver the text to your lead.

Common Scenarios for Using Text Templates

Here are a few scenarios where you can use text templates to improve your communication:

1. Appointment Reminder

Message:

Hi  , just a reminder of our upcoming appointment to discuss [ENTER ADDRESS]. Looking forward to it! Let me know if you need to reschedule.

2. Open House Invitation

Message:

Hi  , you’re invited to an open house at [ADDRESS] on [DATE] from [ENTER TIME]. Let me know if you can make it or have any questions!

3. Market Report Sharing

Message:

Hi  , here’s the latest market report for your area: . Let me know if you have any questions or want to discuss the report in more detail!
