Real Geeks 101: Leverage your CRM to Engage More Leads

Overview

The Real Geeks Lead Manager (referred to as the CRM) is a platform for agents to stay organized and connect with their network more efficiently. This guide serves as a general introduction to the CRM and provides industry-recommended best practices to help you adopt the tool and connect with more leads.

Managing Your Leads

The CRM can store all contacts, new and existing, and help you connect with more of your contact network. Leads that sign up through your website are sent here automatically, but you can always upload your existing contacts here as well.

Connect with your leads using the quick communication icons located in the CRM Leads List . The leads list gives you a convenient location to engage a lead while scrolling through your contacts.

 

Observe Your Leads

The CRM lets you keep an eye on what your leads are doing on your website. Use the CRM to find leads that are actively using your website, so you can leverage their activity history into stronger, and more frequent, conversations.

Tip from a Geek

Industry best practices suggest keeping an eye on certain activities, such as regular website visits, frequent conversations, or attempts to meet in person. These may be indicators of potential interest in your real estate services.

 

Identify Your Leads

To learn more about a lead, click on their name to access their Lead Detail Page. From the lead's detail page, you can gain more insight into your lead and their interests with your services

Utilize the lead identification tools (buttons on the left) to make internal notes and categorize your contacts based on specific criteria, such as "buyer vs seller" or "short-term vs long-term" lead.

Lead Identification Best Practices

The "About" section is a frequently visited area within the CRM, allowing you to easily and efficiently make notes for all of your leads.

Type

Identify the different contact "types" you communicate with as a realtor. Identify your Buyer and Seller leads, and distinguish them from personal contacts, old clients, renters, etc...

How to Change Lead Type

  1. Go to leads.realgeeks.com/leads
  2. Click your lead's name
  3. Click About (left)
  4. Select the Type that best represents your lead
Status

Visualize the various stages that you work through with your lead, and where they fall in their Agent Pipeline. Prioritize leads that are closer to their personal goals of buying/selling a listing.

How to Change Lead Status

  1. Go to leads.realgeeks.com/leads
  2. Click your lead's name
  3. Click About (left)
  4. Select the Status that best represents your lead
Timeframe

Start the "countdown for conversion" with the CRM's Timeframe field. Use this resource to establish a lead hierarchy based on how much time before that lead may require your services. 

Leads with a short timeframe usually yield a higher Return on Investment (ROI) than leads with a longer timeframe. Identifying this can help you prioritize leads that require more of your attention!

  4. Select the Timeframe that best represents your lead
Urgency

Organize Your Leads

Now that we’ve identified important details about our leads, lets organize our contacts to make navigating our leads easier!

Using the CRM’s Advanced Filters, you can categorize your leads into organized groups. These filters are designed specifically to help you distinguish leads from one another. Use this resource to:

  • Create separate lists for Buyer and Seller leads
  • Develop a list of high-priority leads in your database
  • Identify opportunities to leverage automated property alerts to connect with your leads over time


Default Filters

Here's a definition of each filter, and how they can be utilized in your daily CRM tasks of engaging leads and creating opportunities!

Activity Today View all of the leads that have been active on your website in the last 24 hours All My Leads

View leads that you have been assigned to in the CRM.

My New Leads

View a list of Contacts that have been assigned to in the CRM, and have been identified as a new lead. These leads are identified with an orange New Lead Flag in the CRM Profile page.

Click Clear to remove the flag, and remove them from your list. 

Need Drip Workflows

Displays a list of all leads that are not subscribed to a Real Geeks workflow.

Need Market Report

Display a list of leads that are not subscribed to a Market Report from your website. Markets Reports provide a general activity re of any market in your area, making it perfect for Seller leads!

Need Saved Search

Display a list of leads that are not receiving regular email property alerts. With Saved Searches, send active listing data on an automated basis to keep leads connected to your website.

New

View a list of Contacts that still have their New Lead Flag. New leads (to the website) are identified with an orange flag in the lead's profile.

Click Clear to remove the flag, and remove them as a "new" lead to you.

Unassigned

Leads that are not assigned to a specific agent in the CRM.

Recommended Custom Filters

Create a list of custom filters that help you completely personalize your experience in the platform. Use this method to help you compartmentalize your database, and help you identify more opportunities within your database.

Buyer Leads

Purpose

  3. Click the Address dropdown menu
  4. Select Type
  5. Click the Select... dropdown menu
  6. Select Buyer 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Seller Leads

Purpose

Identify a list of Sellers in your Database

What we're filtering leads by...

Type is Seller

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Type
  5. Click the Select... dropdown menu
  6. Select Seller 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Leads to Contact Daily

What we're filtering leads by...

Urgency includes ANY of: Fire (Daily)

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Urgency
  5. Click the Select... dropdown menu
  6. Select Fire (daily) 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Leads to Contact Weekly

What we're filtering leads by...

Urgency includes ANY of: Hot (Weekly)

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Urgency
  5. Click the Select... dropdown menu
  6. Select Hot (Weekly) 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Leads to Contact Monthly

What we're filtering leads by...

Urgency includes ANY of: Warm (Monthly)

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Urgency
  5. Click the Select... dropdown menu
  6. Select Warm (Monthly) 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Leads to Contact Quarterly

These are the leads that tell you they are "just browsing", which is a polite way to say they don't need help right now.

What we're filtering leads by...

Urgency includes ANY of: Long Term (Quarterly)

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Urgency
  5. Click the Select... dropdown menu
  6. Select Long Term (Quarterly) 
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Unidentified Leads

What we're filtering leads by...

Urgency includes ANY of: Blank

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Urgency
  5. Click the Select... dropdown menu
  6. Select Blank
  7. Click Apply Filter

Click Save Filters to easily identify these leads again!

Leads That Haven't Visited Your Website in 30+ days

What we're filtering leads by...

Last Active Date is older than 30 (days)

Steps to Recreate

  1. Go to your Real Geeks leads page (click here)
  2. click +AddNew
  3. Click the Address dropdown menu
  4. Select Last Active Date
  5. Click the Is On dropdown menu (center)
  6. Select Older Than
  7. Type 30 in the days field
  8. Click Apply Filter

Click Save Filters to easily identify these leads again!
