What Is the CRM Texting Number

When you text a lead through the Real Geeks CRM, the message is sent from a unique 10-digit number that is either selected by you or assigned to you during setup. This is your dedicated texting number, and it will appear as the sender on every message you send through the CRM.

While this number is system-generated and registered through a third party, it’s still tied directly to your account. If a lead decides to call that number instead of replying by text, the call will automatically be routed to your primary phone number through our call forwarding system. You can set this up when you choose or activate your texting number by adding your personal phone number under your user’s call routing settings. That way, anytime a lead calls your CRM texting number, it is automatically routed to the appropriate assigned agent.

When a lead responds to one of your texts, their reply is automatically recorded in their CRM profile. You can view the full message history alongside other activity details, like saved searches or properties they’ve viewed. This makes it easy to ask meaningful questions, follow up based on their interests, and provide more value with every conversation.

Think of it as a masked business line. It protects your personal number, keeps your conversations professional, and allows you to manage your lead communication entirely through the CRM.

Why You Need a Dedicated Number

All Real Geeks CRM texting is managed through a registered platform that complies with federal and carrier-specific texting requirements. To send messages, every agent must have a dedicated number that has been approved and registered through this system.

This is part of a nationwide verification process known as A2P 10DLC, which refers to a system in the United States that allows businesses to send Application-to-Person (A2P) messaging using standard 10-digit long code (10DLC) phone numbers. All major mobile carriers require this approval process to reduce spam and protect consumers.

This process is typically initiated during your initial CRM setup. If you haven’t started it yet, you’ll need to complete a brief approval form so we can register your brand and texting campaign. For more information on how to get started, [learn more about A2P 10DLC registration].

Once your registration is submitted and approved, Real Geeks will handle the connection process through an approved third-party provider. You will then have the ability to select your own number — choosing a number to text from in the CRM that fits your location or business needs.

How the Number Is Generated

Once your brand and campaign registration is approved, you can create your CRM texting number directly in the Lead Manager. You’ll be able to select a number that includes an area code aligned with the region you serve. This number is what your leads will see when you send them a text through the CRM.

Having a local area code can go a long way in building trust and familiarity. When leads see a number that matches the market they are searching in, they are more likely to engage and respond.

Your selected number becomes the default texting line for all CRM communications. Every message you send is logged in the lead’s profile, allowing you to track the full conversation history and keep your follow-up organized.

Best Practices for Using Your CRM Texting Number

Agents who are most successful with CRM texting make this number part of their brand. Here are a few ways to position your texting number as a helpful tool when communicating with leads.

Let leads know this is your business line

You can include a short note in your messages like, “Feel free to text or call me here, this is my business line.” This sets expectations and reinforces professionalism.

Use your CRM number consistently

Even if you occasionally connect with leads through your personal number, try to keep most of your communication inside the CRM. This ensures your messages are logged, your notes are organized, and your follow-ups stay on track.

Be honest when asked

Some leads may ask, “Is this your real number?” You can explain that it’s your business texting number, and let them know you use it to stay organized and respond faster. If you’re comfortable, you can also share your personal number, while making it clear that you prefer to use your business line to make sure nothing gets missed.

Remind them that responses come directly to you

Even though the number is system-generated, messages go straight to your CRM inbox and notify you in real time. This helps leads feel confident that they’re connecting with you, not a bot.

What to Avoid

You might be tempted to give out your personal cell number, especially to warm leads. While that’s completely up to you, keep in mind that:

Messages sent outside the CRM won’t be recorded

That means you or your team might lose track of important conversations, especially if you’re working with multiple leads at once.

You may miss valuable automation

The CRM texting tool connects with follow-ups, campaigns, and notifications, which help you respond faster and stay on top of your pipeline.

Switching numbers may confuse leads

If you send some messages from your CRM number and others from your personal number, leads may not realize it’s the same person. This can reduce your engagement.
