Communication Tools

As a busy real estate professional, staying connected with leads is crucial—but it doesn’t have to slow you down. With the Real Geeks CRM App, you can manage communications with your clients efficiently, right from your mobile device. Whether you’re at a showing, in transit, or between meetings, you have the tools you need to reach out instantly.

To start, navigate to the Leads page in your CRM App and select the lead you want to contact. Then, simply tap the green Action Pad icon at the bottom-right corner of their Lead Detail page.

The Action Pad menu gives you quick access to:

  • Call, text, or email your lead directly from the app—no need to switch between different apps or tools.
  • Set follow-up reminders so you can stay on top of your pipeline without missing a beat.
  • Log activities like phone calls or meetings to keep a complete history of your interactions.
  • Add notes to record important details for future reference.
  • Log in as the user to assist your lead with saved searches, market reports, or property preferences.

Note:

When you make a call through the mobile app, it uses your personal phone number, allowing you to build rapport and maintain direct contact with your lead. This feature makes it easier for leads to reach you and helps strengthen your professional relationship.

By centralizing all your communication tasks in one place, the Action Pad helps you save time and stay organized, ensuring that you’re always a step ahead when managing your relationships.

 

Text and Email Templates

Time is one of your most valuable resources as a real estate agent. With the Text and Email Templates feature in the Real Geeks CRM App, you can speed up your communication process and stay consistent in your messaging—all while maintaining a personal touch.

Instead of drafting a new message for every lead, you can use the pre-made templates that you’ve set up in the desktop version of your CRM. This ensures that your responses are timely, professional, and tailored to the needs of each client.

How It Works:

  • Manual Messaging: You can still compose and send texts or emails manually when a unique or personalized response is needed.
  • Templates for Efficiency: To save time, select one of your pre-created templates and send a professional message with just one tap—ideal for quick follow-ups, property updates, or check-ins.

Note:

Templates need to be created in the desktop version of your CRM before you can access them in the mobile app. Create your templates here.

By leveraging templates, you can ensure that your communication is consistent, even when you’re managing a large volume of leads. This frees up more time for other tasks, such as showing properties or closing deals, while still keeping in touch with potential clients.

 

Quickly Send a Property In Text or Email

When a lead shows interest in a property, timing is everything. The Real Geeks CRM App lets you quickly send property details to your leads via text or email, ensuring they receive the information they need while their interest is still fresh. Whether you’re on the road or in between meetings, you can effortlessly keep your clients updated on the latest listings.

How It Works:

  • To send a property via text: Open a text message window with your lead, tap the + sign, select Property, and enter the property address. The details will be sent directly to the lead, keeping them informed and engaged with just a few taps.
  • To send a property via email: Open the email window with your lead, tap the house icon, and enter the property address. The property details will be automatically attached, giving your lead a full overview of the listing.

Whether you’re at a showing or out of the office, you can still deliver fast, accurate updates to your leads, making sure they stay focused on the properties that match their preferences.

Helping your leads navigate their property searches can significantly enhance their experience with your services. The Login as User feature in the Real Geeks CRM App allows you to step into the client’s shoes, giving you the ability to manage their saved searches and preferences directly.

This personalized support can keep your clients more engaged and ensure they’re receiving the most relevant information.

While logged in as a lead, you can:

  • Create, edit, and save property searches: Set up or adjust custom searches that align with your lead’s criteria—whether it’s location, price range, or property features. You can modify these searches anytime to ensure they match your lead’s changing preferences, keeping them up-to-date with the most relevant listings.
  • Set up and modify Super Saved Searches: Super Saved Searches provide your clients with real-time updates, notifying them automatically when new properties match their search criteria. You can adjust these searches as needed to keep your leads informed without requiring manual follow-ups.
  • Create and update Market Reports: Send regular market updates, including price changes and trends in your lead’s desired areas. You can easily customize or adjust these reports based on client feedback or changing market conditions, helping you deliver tailored insights that keep your leads informed and engaged.
  • Access and manage favorited properties: View the properties your lead has favorited and discuss these listings during follow-up conversations. This allows you to tailor your advice based on their interests, making your communication more targeted and helpful.

 

Once you’re finished managing a lead’s account, simply click Done in the upper left-hand corner to return to your own view.

FAQ

"Can I add a workflow to a lead through the app?"

Absolutely. Head over to the "Info" tab on the contact's Lead Detail Page. On the bottom of the "Info" tab you can add or remove a workflow for the lead.

"Can I edit an email template after I have selected one?"

Not currently. While this is in the works for future releases, it is not available at the time. If you need to edit an email template please login to your CRM on a desktop computer and update the template here.

"Can I add merge fields to an email in the CRM App?"

Merge fields cannot be added at this time. If you need to add a merge field to an email please login to your CRM on a desktop computer to send the email or create a new email template from a desktop computer with the merge field included in the template.
