CRM Email Signature Overview

Add professional branding, contact information, and helpful links to every email sent from Real Geeks with a custom Email Signature.

Email Signatures help you automatically include your branding, contact information, and helpful links in emails sent through Real Geeks. You can create both text-based and image-based signatures, allowing you to maintain a professional appearance while ensuring leads always know how to contact you.

Need to Know

  • Display an Image Signature or a text-based Email Signature
  • Subscription-based emails like Saved Searches, Market Reports, and EstateIQ Home Valuations can only use the text-based Email Signature
  • Image Signatures can be used in direct emails, eBlasts, and Workflow emails
  • Supported image formats include JPG, PNG, and GIF
  • If an Image Signature is uploaded, it automatically replaces the text-based Email Signature in supported email types

Access Your Email Signatures

To view or update your Email Signatures, log in to your CRM and navigate to Settings > Profile.

Edit Your Signatures

Real Geeks supports two signature types: a text-based Email Signature and an Image Signature. Both can be managed from your Profile settings.

Email Signature

text-email-signature-locationThe Email Signature is a text-only signature used in direct emails, eBlasts, Workflows, and subscription emails. Because it doesn't use images, it helps improve email deliverability and reduce the chance of messages being flagged as spam.

Subscription emails always use your Email Signature, including:

  • Saved Searches

  • Market Reports

  • EstateIQ Home Valuations

Under the Email Signature field, you can customize your signature using the contact information associated with your user profile. Many agents include:

  • Name and contact information

  • Brokerage details

  • Website links

  • Social media profiles

  • Required compliance or disclosure links

Image Signature

email-signature-locationThe Image Signature allows you to upload a branded signature image in JPG, PNG, or GIF format.

Image Signatures can be used in:

  • Direct 1:1 emails

  • eBlasts

  • Workflow emails

⚠️ Image Signatures Are Not Supported in Subscription Emails

Image Signatures can not be used in Saved Search emails, Market Reports, or EstateIQ Home Valuation emails. These automated subscription emails only support the text-based Email Signature.

This helps improve email deliverability and reduces the likelihood of automated emails being filtered as spam, helping more of your property updates and reports reach your leads' inboxes. 

For best results:

  • Use a 300 x 150 pixel image size (no more than 400 pixel width is recommended)

  • Use a high-quality image

  • Ensure text remains readable on mobile devices

  • Include your branding and contact information

How to Use Your Signature in Emails and Templates

Add the following merge field to CRM Templates, Workflow emails, and other email messages:

  • {{AGENT_EMAIL_SIGNATURE}}

If you have an Image Signature uploaded, it will automatically be displayed when this merge field is used. If no Image Signature is available, your text-based Email Signature will be used instead.

You can also specifically display your Image Signature using:

  • {{AGENT_IMAGE_SIGNATURE}}

  • Include your name, phone number, and website

  • Add links to your social media profiles when appropriate

  • Include any required brokerage disclosures or compliance links

  • Keep text-based signatures concise and easy to read

  • Use a professional, high-resolution image for Image Signatures

  • Test your templates after updating your signature to confirm everything displays correctly

    Subscription-based emails such as Saved Searches, Market Reports, and EstateIQ Home Valuation emails only support the text-based Email Signature.

  • Can I have both an Email Signature and an Image Signature?
    Yes. Real Geeks stores both signature types and automatically displays the appropriate version based on the email being sent.
