A Complete Guide to the Emails You Can Send Automatically with Real Geeks
Real Geeks includes several automated email tools that help you stay connected with your leads without needing to manually send messages each time. These automations provide timely listing updates, market insights, valuation follow-ups, and activity‑based responses that keep your brand top of mind while supporting long‑term conversion.
Use this guide to understand each type of automated email, what it does, and how to manage or customize it.

Website Welcome Emails
Website Welcome Emails (Also called Autoresponder Emails) are automatically sent when a new lead signs up on your Real Geeks website.
The email that is delivered to the lead depends on how the lead signs up through your website.
These are the four Welcome Emails that are automatically sent to every new lead:
- Normal Sign-Up
Sent when a lead signs up while viewing an active listing. - Market Report Sign-Up
Triggered when the lead registers through a Market Report. - Seller Leads Automated Valuation
Sent when the Home Valuation Tool produces an instant on-screen estimate. The email references the valuation the lead received. - Seller Leads Customized Valuation
Sent when the valuation tool cannot provide an instant estimate. This message lets the lead know you will prepare a personalized valuation.
How to edit these emails:
- Open your website editor by adding /admin to the end of your website address (e.g. www.website.com/admin)
- Click Emails & Sign-Up Forms.
- Select Autoresponder Emails.

Important
These Welcome Emails cannot be turned off. Every new lead will receive one of these messages based on how they signed up. Customize these emails to match your goals and communication style, since they are always delivered and form the foundation of the lead’s first interaction with your brand.

Saved Search
Saved Search Emails are the most common automated emails sent from your Real Geeks website. They deliver timely listing updates that keep leads returning to your site and staying engaged with your brand.

These emails automatically notify your leads when:
- New properties matching their search criteria hit the market
- Prices change on listings they may be interested in
- A property’s status changes (for example, Active to Pending)
Because these updates are highly relevant and personalized to each lead’s preferences, they tend to generate strong engagement and consistent repeat website visits.
This is one of the most valuable tools for staying connected with buyers throughout their entire search process.
How to Create a Saved Search
- Open the lead’s profile by clicking their name in the Lead Manager.
- Under Subscriptions, click Saved Searches.
When you open a Saved Search, you are temporarily logged in to your website as the lead. You will see a banner at the top of the page confirming: You are signed in as [Lead Name]. Any searches you create or save from this view will be saved on the lead’s behalf.
Pro Tip
When you are finished creating or adjusting Saved Searches for a lead, click Sign out at the top of the page. This ensures you return to your own agent account before setting up a search for another lead.

Market Reports
Market Report emails give leads a clear overview of activity in the market they are interested in. These updates include all active, pending, and sold properties in the selected area.

Market Reports are valuable for sellers and buyers:
- Sellers get insight into how similar homes are performing in their market. This helps them understand their potential home value, compare their property to others, and stay aware of shifting market conditions.
- Active buyers benefit from Market Reports because they provide the bigger picture of the market. These reports help buyers understand trends, competition, and how quickly homes are moving in that area.
- Pair custom Market Reports with active Saved Searches to increase your chances of connecting with your lead!
How to Create a Market Report
- Open the lead’s profile by clicking their name in the Lead Manager.
- Under Subscriptions, click Market Reports.

Super Saved Search
Super Saved Searches go above and beyond a standard Saved Search by giving you direct access to your MLS feed. This allows you to highlight highly specific listings and create searches using criteria that are not available through your website’s built-in search tools.

Because Super Saved Searches pull from the full MLS data set, you can:
- Build more precise and tailored searches for your leads
- Showcase listings using deeper or more advanced criteria
- Provide unique insights that set you apart from competitors
This feature helps you start stronger conversations and deliver more value by leveraging MLS-level data that buyers cannot typically access through your website.
How to Create a Super Saved Search
- Open the lead’s profile by clicking their name in the Lead Manager.
- Under Subscriptions, click Saved Searches.
- Select Add to start a new Saved Search.
- Once you see the temporary login notice at the top of your website (confirming you are signed in as the lead), click Create Super Saved Search.

Workflows (Emails)
Workflows let you automatically send a series of scheduled messages to your leads over time, helping you keep follow-up consistent and personalized. These campaigns help you stay consistent with long-term follow-up and deliver personalized communication that supports each lead’s journey.
Workflows are especially helpful for
- Engaging the lead with consistent communication over time
- Nurturing long-term relationships
- Automating reminders, updates, and educational messages
How to Create a Workflow
- Open the Lead Manager.
- Click Automations in the navigation menu.
- Create a new Workflow or open the Real Geeks Workflow Library:
- Select Drip Workflows to open your personal Workflow library

- Select Drip Library to browse pre-made Real Geeks Workflows you can use right away

- Select Drip Workflows to open your personal Workflow library

Home Valuation (Estate IQ)
The Home Valuation tool, also called Estate IQ, allows seller leads to enter their address and receive a free property estimate directly from your website. This tool helps you attract potential sellers and begin meaningful conversations based on their home’s estimated value.
Depending on whether the tool can generate an instant estimate, one of two automated emails will be sent:
- Seller Leads Automated Valuation: Sent when the lead receives an instant on-screen estimate.
- Seller Leads Customized Valuation: Sent when the tool cannot generate an immediate estimate and you will prepare one manually.
How to Customize the Automated Home Valuation Emails
- Open the website editor.
- Click Emails & Sign-Up Forms.
- Select Autoresponder Emails.

- To customize the instant-estimate email:
- Click Seller Leads Automated Valuation.
- To customize the no-estimate email:
- Click Seller Leads Customized Valuation.
- Adjust the wording to match your brand and communication style.
- Click Save

(Optional) Reactive Responses
Reactive Responses are automated reactions to lead activity on your website. They reach out to the lead instantly when they take meaningful actions—without you needing to manually send anything. These messages help you respond in real time when leads show signs of increased interest.

Reactive Responses can be triggered by actions such as:
- Favoriting a property
- Viewing 10 properties within 7 days
- Visiting your website multiple times in a short period
These messages are primarily text-based, but you can choose to send them as emails instead.
How to Adjust Reactive Responses
- Open the Lead Manager.
- Click Automations in the navigation menu.
- Select Reactive Responses.

- Choose whether each message should be sent as a text or an email.
- Enable or disable the lead activities you want to trigger an automatic response.
- Use the preview button to preview the message
Important
Reactive Response messages cannot be customized. The text is preset and will always send exactly as written whenever the trigger is enabled.
