The Real Geeks training, support, and product teams hosted their final Ask Us Anything of 2025. This month we focused on calling from the CRM, automation that saves you time, and practical engagement tactics you can put to work now.

Event Recap

This month’s session centered on three themes:
(1) Calling inside the contact manager with the new click-to-call dialer, (2) organizing follow-up with automation and templates, and (3) engagement habits that convert: saved searches, market reports, and clear next actions. The team also fielded questions on email opt-outs, lead imports, ponds, and holiday messaging.



Key Highlights from the Session

Calling Inside the CRM (New Dialer)

  • Click the Call button on a lead to place a browser-based VoIP call and log notes, outcomes, and next follow-up—right on the profile.

  • After saving a call outcome, you’re prompted to set the next touch so nothing falls through the cracks.

  • Outbound calls use your registered texting/calling line (A2P-registered local number), so texts and calls appear from the same number.

  • Return calls can route to the assigned agent’s phone using user call routing.

  • Quality depends on internet/cell signal; the experience is like a normal phone call (no predictive dialer delay).

  • Today’s dialer is click-to-call. A power-dial mode is under discussion for the 2026 roadmap.

AI + What’s Next

  • Voice calling for Robin (AI assistant) is targeted for early Q1 2026.

  • Planned additions: call transcripts and AI summaries, with insights feeding the nurture engine to time outreach and propose next steps.

Workflows, Templates, and Follow-Up Logic

  • Use automatic steps to send timed emails/texts, add tags, change status, and set follow-ups.

  • Chain short source-specific sequences into long-term nurture automatically.

  • Enable “Stop on communication” so automation pauses when someone replies.

  • Build message templates (email/text) with merge fields to save time and keep tone consistent.

Engaging Your Leads: Saved Searches + Market Reports

  • Every contact should receive at least one subscription:

  • Pair subscriptions with a simple monthly check-in to keep relationships warm.

Lead Imports and Getting Started Fast

  • You can import a CSV yourself or send it to support (support@realgeeks.com) for help.

  • After importing: assign a subscription, add a follow-up, and send a short “welcome” message that introduces your site and how to get help.

Email Opt-Outs and Compliance

  • Leads can opt out of automated emails while still receiving direct emails.

  • The lead profile shows granular opt-out toggles so you can see exactly what’s allowed.

Lead Ponds and Team Controls

  • Lead Ponds are for unclaimed leads. Claim a lead to view contact info and call from the dialer.

  • Centralized dialing helps prevent the “too many calls at once” experience for consumers and keeps activity visible for the assigned agent.

Holiday Outreach and E-Blasts

  • You can schedule send an email to all contacts for holidays or announcements.

  • Best practice: segment to reasonable batches for deliverability (support recommends ~500 per batch).

  • Mass texting is not supported (protects deliverability and compliance).

Practical Calling Tips from Q&A

  • Double-dial if no answer, then send a brief text.

  • Vary call times (morning/evening) on subsequent attempts.

  • Log every touch, set one clear next follow-up, and keep Important Notes pinned for quick context.
